What to hand your accountant
FieldQuo does not export your books as files and does not sync with QuickBooks or Xero. What your accountant can have instead: the documents as PDFs, the figures on screen, or a login of their own.

FieldQuo takes records in — clients, leads, past jobs, your price book, a bank statement — but it does not send lists back out as files. There is no CSV or ZIP of invoices, payments or expenses to download, and nothing syncs with QuickBooks or Xero. This article is what your accountant can have instead, and what FieldQuo does not record at all, so neither of you goes looking for it.
Overview
Three things reach an accountant from FieldQuo: the documents — each one a PDF you download from its own screen — the figures FieldQuo adds up on screen, and, if they want to read those figures themselves, a login of their own.
A single document you need to run the business stays downloadable: a quote, an invoice, a payslip. What is not offered is a bulk file of your records.
The documents you can download
- Invoices — Download PDF on each invoice. It is the same document the client received.
- Quotes — Download PDF on the quote page, in the quote's own language.
- Payslips — Payslip PDF under each person on an approved pay run. See Payslips.
- FieldQuo's own invoices to you — in the Stripe portal behind Manage billing & payment method. See Invoices and receipts from FieldQuo.
The figures on screen
- Financial statements — profit and loss, cash flow, sales tax charged and a partial balance sheet, for any range, on a cash or accrual basis. See Financial statements.
- Expenses — the month's spending by category, job and overhead, and the recent receipts. See Expense tracking and your burn rate.
- Invoices — what is outstanding and past due, invoice by invoice. See The Invoices list.
- Subcontractors — what each sub was paid in a year and in how many payments, the figure a T5018 or 1099-NEC is filled from. See The T5018 year-end figures.
- Payroll — each pay run's hours, gross, deductions and net, person by person. See Payroll runs.
What FieldQuo does not record
- A filing. Nothing in FieldQuo has been remitted to any tax authority.
- A sales-tax return. Invoice tax is one amount per invoice, with no tax codes and no per-line tax.
- Input tax credits. Expenses carry no tax and no supplier, so recoverable tax on what you bought is not tracked.
- Credit notes. A refund issued from an invoice in FieldQuo is a refund line under the payment; see Refunds.
- A chart of accounts. Nothing is mapped to a GL account — your bookkeeper does that in their own software.
A login for your accountant
If your accountant would rather read the figures themselves, invite them from Manage Team. The Manager level sees invoices, payments, expenses and the financial statements — without everyone's pay. Make them an administrator only if they must also see payroll and billing.

Is there a QuickBooks or Xero integration?
No. Nothing syncs, and FieldQuo does not produce files for either. Your bookkeeper enters the figures in their own software from the PDFs and the statements.
Can I download my invoices, payments or expenses as a CSV?
No. FieldQuo imports lists but does not export them. Each invoice and quote downloads as a PDF on its own screen.
Where do I see the processing fee on a card payment?
On the payment, on the invoice: the amount, the processing fee and the net deposited. See Payment processing fees and payouts.
